Agency Expansion Pack (Executive Assistant & Office Manager)

We’re looking for hire an Executive Expansion Pack. This job is akin to an Office Manager & Executive Assistant role in less exciting agencies. We’ve changed the titles to better reflect the type of person we’d like to attract and roles and responsibilities we hope this person will undertake.  

 

We’re looking for more than just administrative support. We’re searching for someone who will learn and grow with the agency partners and will create a workspace where our talented team of campaigners, designers and developers will thrive.  

 

To be successful in this role the person would have to be hyper organized, be a master multitasker, and have a fine attention to detail. cStreet Campaigns moves at an extremely fast pace and this person will need to be able to maintain, organize and juggle priorities in an often chaotic environment. The job will be challenging, but also rewarding.

 

Tasks will vary from day-to-day, but could include any or all of the following:

  • Planning and organizing exec travel, plus daily agendas, to maximize their efficiency while they’re on the road.

  • Opening the office each morning.

  • Review the partners calendars each day and clear any conflicts.

  • Scanning and filing receipts and bank statements.

  • Proactively plan parties, catered lunches, meetups and marketing events in the space and occasionally out of town.

  • No one loves our staff more than you. You’re responsible for making sure they have everything they need from the right software, to the yoghurt they like, to getting their paychecks on time.

  • Pro-actively improve our internal technology. Don’t wait for complaints about the printer or time capsule - you should know how our tech works and have it running at 110% always.  

  • Ensuring the office is clean and organized on a daily basis (we have an office cleaner, but you’re going to be expected to do dishes, wipe down surfaces etc) .

  • You’re responsible as well for making sure our clients are cared for when they visit, during parties, and during the holidays.

  • You’re responsible for the whole space, which includes our tenants who share the space with us (it’s our office but they rent 40% of it from us).

  • And really whatever the agency partners throws at us e.g. plan a staff excursion to a mystery escape room (real example).

Skills & Requirements

  • Minimum 2+ years of experience as an executive assistant and/or office manager (or equivalent).

  • A valid Ontario driver's license.

  • Experience in a creative or tech environment are prefered (ad agency, comms shop or tech startup).

  • Familiarity with Harvest, Basecamp, NationBuilder, Slack or Google Apps are preferred (those are our core pieces of tech).

Salary: $35,000 - $40,000

Job Status: This is a full time position and starts with a 3 month probationary contract.
